Job Description
Nevada State University invites applications for the position of Administrative Assistant 3 for the department of Humanities in the School of Liberal Arts, Sciences, and Business (LASB). The Humanities department includes the Chair, 12 full-time faculty members, 2 half-time faculty members, a large number of part-time instructors, and a student worker. The department schedules around 200 sections and serves over 2,000 students annually.
This position will provide high‐level administrative support to the Humanities Department Chair including managing components of the department's operations and special projects. At the broadest level, this position will engage in calendar management, room scheduling, email communication, and customer service. Other tasks will include, but not be limited to, planning and coordinating departmental events, entering courses into the scheduling software, processing payroll contracts and communicating with part-time instructors, assisting with purchasing processes and maintaining the department budget, and supporting travel arrangements for all full-time faculty and the chair, including preparing spend authorizations (pre-travel) and expense reports (post-travel). The plan requires employees to withhold 17.5% of the budgeted salary toward retirement with an equal employer match of 17.5%. No relocation assistance is provided for this position.

Your Responsibilities:
* Ensures that the telephone is answered properly, and messages are handled courteously, accurately, and in a timely manner.
* Initiates preparation of Management Reports, committee reports, and meeting notices as applicable and submits for the Manager-s review and approval.
* Maintains updates and coordinates resident information in the computer database at a minimum on a monthly basis. Generates and provides this information to the Community or General Manager, and Board of Directors.
* Maintains roster of mailroom boxes.
* Keeps track of insurance certificate requests. Maintains insurance records books for both vendors and unit owners.
* Maintains supply closet. Requests all office supplies and equipment, following established purchasing procedures.
* Opens and distributes mail, prepares accounts payable invoices with work orders, and receives tickets. Stamps and code invoices.
* Prepares move-in packages for re-sale and leases. Creates files, compiles, and coordinates all necessary information and documentation for new owners/leases.
* Set up meetings for the Board Approval process.
* Keeps packages updated with new memos and policies as required.
* Prepares any resident information packages that require Board approval, (i.e., Architectural Modification).
* Coordinates receipt of closing statement or warranty deed to put in the file and send to corporate A/R to change name and address for maintenance coupons.
* Maintains the inventory of common area keys, transmitters, and key fobs for residents and re-order as needed following established procedures. Maintains a log for sales and cash purchases as needed.

ROLE of the POSITION
The UNLV PRACTICE is accepting applications for an Administrative Assistant III, which serves as the Office Manager for a busy community mental health training clinic.
Duties include, yet not limited to the following:
* Supervision of student workers, include graduate assistants in implementing all front desk duties in compliance with all health care policies and procedures (e.g., HIPAA) related to client/patient flow; ensuring front desk coverage providing ongoing formative and summative evaluation of performance.
* Management of client accounts including creating invoices, entering payments, allocating funds, resolving discrepancies and creating deposits for cashiering.
* Oversight of electronic medical record system (EMR) including scheduling of clients, assisting student clinicians with appointments and room reservations, maintaining calendars and resolving conflicts in the system.
* Physical maintenance of all clinic spaces on and off-campus including but not limited to ordering keys, requesting repairs, telecom requests, and keeping all spaces, furnishing and equipment in good repair, clean and organized.

MINIMUM QUALIFICATIONS
EDUCATION AND EXPERIENCE: Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience as described above.

Bachelor's degree in health-related field. Previous administrative experience (1-2 years) in a mental health setting.
